Video Door Entry vs Access Control

Video door entry helps a person inside deal with a caller at an entrance. Access control manages how authorised people gain entry. They can form part of a wider arrangement, but they address different questions. Start by explaining who needs access and how that decision should be made.

Separate visitors from regular users

A visitor may need to announce their arrival and reach someone who can decide whether to admit them. A member of staff or another authorised user may need access without contacting someone inside each time. Describe those two journeys separately before deciding which equipment is appropriate.

A home, office and shared residential building can involve different numbers of users and decision-makers. Tell the team whether one household, one business or several occupiers are involved. The entrance arrangement should reflect that responsibility rather than assume one person can make decisions for the whole building.

Describe the current door arrangement

Explain which door or gate is involved and what equipment is already present. Include the lock, existing intercom or entry system if known, along with any difficulty users experience. A replacement handset, a change to the entrance equipment and a complete system are different scopes of work.

Do not assume a new device is compatible with an existing shared installation. The equipment and the proposed result need assessment together. If the system is managed by a landlord or another company, identify them before asking for alterations that affect other users.

Think about administration after installation

For access control, ask how users are added, changed or removed in the proposed arrangement. A business should decide who owns that responsibility when staff join or leave. In a managed property, the relevant owner or manager should establish who can approve access changes.

For door entry, explain who should receive a visitor's call and what happens when that person is unavailable. If a remote feature is important, ask what equipment, connectivity or service it depends on. Do not assume every system supports the same device, account or subscription arrangement.

Include permissions and door operation

Identify who can authorise work on the entrance, frame, wall and associated routes. A tenant may control the inside of a unit while the building owner controls the common door. Resolve that boundary before a quotation is treated as approval to proceed.

Changes to door locking or release arrangements need appropriate assessment for the building and its existing safety requirements. Do not bypass a door mechanism or alter a shared entrance yourself to make equipment fit. Explain the intended use and involve the responsible building manager or relevant specialist where needed.

Compare the whole specification

Ask the quotation to identify the entrance equipment, internal controls, installation work and any retained components. Include administration and ongoing service costs in the comparison. A lower initial price may reflect a different number of users, different functionality or a narrower installation scope.

If several entrances are involved, identify the purpose and responsibility for each. Avoid assuming that an arrangement suitable for the main door is automatically appropriate for a delivery entrance or internal restricted room. The proposal should make those differences understandable.

Prepare for handover

Arrange the demonstration with the person who will administer the system as well as the normal users. Practise the visitor journey, authorised access and the agreed process for managing users. Keep the operating information available to the responsible parties so later changes are handled consistently.
